Reservation Transfer is designed for restaurant groups with several locations who want to move a guest's booking from one restaurant to another without cancelling it and recreating it by hand.


1. What is Reservation Transfer and why use it?

Move a booking to another restaurant in your group, without cancelling and starting over. It keeps the guest's details, date, time and pax intact, so nothing needs to be retyped.


2. How to use Reservation Transfer

  • Open the reservation and select Transfer from its action menu, on your Front of House page

  • PAX, date and time are prefilled from the original booking, edit them if needed. 

  • Choose the destination restaurant.

  • If the destination restaurant is already full at that time, you'll get a confirmation prompt before the transfer goes through

  • Click Transfer

This creates a new reservation at the destination restaurant with the guest's details, date, time and PAX carried over, and closes the original reservation, which is marked as transferred and stays visible in your history with a link to the new one. Your guest receives a confirmation for the new reservation, not a cancellation.

You'll then see a short message confirming the transfer:
  • If the destination restaurant's required fields were already covered by the original reservation, you'll get a simple green confirmation

  • If the destination restaurant has required fields that weren't collected on the original reservation, you'll get an orange confirmation message telling you the transfer worked, but those fields still need to be completed. Select Edit to open the new reservation there and fill them in. 

 

3. Troubleshooting & FAQs

  • Why don't I see the Transfer option?
    It's hidden on reservations that are cancelled, cancelled late, refused, marked no-show, over, expired, or already transferred.
    It's also hidden if you don't have access to at least one other restaurant under the same group, or if the action isn't enabled in your Actions Available settings
     

  • Why can't I transfer a reservation that already has a payment collected?
    Reservations with a collected deposit, an authorized card hold, or an applied gift card or voucher can't be transferred.
     

  • What happens if there's a pending payment request on the reservation?

    You can still transfer it. If the guest hasn't paid yet, the pending request is cancelled automatically as part of the transfer
     

  • What does my guest see if they open their old confirmation link?
    They land on a page letting them know the reservation was transferred, with the option to book a new table or view the reservation at the destination restaurant
