How to customize the emails sent to my clients?

What you need to know

Emails (booking confirmations, reminders, cancellations, etc.) are automatically sent to your clients with pre-written default texts. You can customise their content to match the tone or specific information of your restaurant.

This email customisation feature is not included in all Zenchef subscription plans.

 

1. Customise emails from the web application

  1. Log in to your Zenchef account via a web browser.

  2. Go to Settings > Service & Bookings > Client Notifications.

  3. Select the email you want to customise from the available list (e.g. booking confirmation).

  4. Click the "pencil" icon under the "Edit email" column.

  5. In the left-hand column, select the desired language.

  6. Edit the text as needed. You can customise the font, colours, text layout, and more.

  7. To personalise content based on booking details (client’s first name, booking date, number of guests, etc.), use the "Variables" section located at the top right.

  8. Click "Test the customised template" to preview the message before saving.

  9. Save your changes using the "Create" button at the bottom right.

  10. Repeat this process for each language version if needed.

Make sure to keep dynamic fields (e.g. client’s first name) for proper display.
Avoid using emojis or redirect links, as they increase the risk of your email being marked as spam.

Review request emails can also be customised and are accessible from the Marketing tab.

 

2. Customise emails from the iOS and Android apps

This setting is currently not available in the Zenchef mobile app.
Please log in from the web application to access and edit your email templates.

 

3. Common issues & FAQs

Common issues

  • I can’t find the email customisation option in my settings
    Make sure your subscription plan includes this feature. Also check that you're in the Client Notifications tab, not Restaurant Notifications.

  • The customised text doesn’t appear in the emails my clients receive
    Double-check that your edits were saved properly, and verify the text formatting.

FAQs

  • How can I be sure my changes were saved?
    Once saved, the changes are immediately applied to outgoing emails. You can verify this in the History tab of any booking by viewing the sent email.

  • Do changes apply to all languages automatically?
    No, you must manually apply your changes to each language version of the template.
