How do I assign tables to customers?

What you need to know

When using a floor plan, each reservation can be assigned automatically (using the “Table Stock” feature) or manually to one or more specific tables. Assigning tables is essential for optimizing guest placement, visualizing your room’s occupancy in real time, and improving service flow.
Whether the assignment was made automatically or manually, you can modify it at any time.


1. Assign a reservation to one or more tables

Go to the reservations list. There are several ways to assign tables, depending on whether you’re using Zenchef on a phone, tablet, or computer.
First method:
  • On the relevant reservation, click on the "table" column icon.
  • On the floor plan, click on the table(s) you want to assign. A "Table assignment" tab is displayed so you can clearly see which tables are currently linked to the reservation.
  • Click Validate.
Second method: Drag & Drop
  • Select the reservation with your computer mouse or by tapping it on a touchscreen, and drag it onto the floor plan. Drop it onto the table of your choice.
  • You can repeat this operation to assign a second table or more to the reservation.
  • Click Validate.
The table number(s) will now be visible on the reservation.


2. Unassign your reservation from one or all tables

  • On the relevant reservation, click the table number icon.
  • Deselect the table.
  • Validate the action.


3. Change the table assignment of a reservation

Once a reservation is assigned to one or more tables, you can always change the table assignment.
First method:
  • On the relevant reservation, click the table number icon.
  • Deselect the table by clicking the cross.
  • Click on a new table on the floor plan.
  • Validate the action.
Second method: Drag & Drop
  • Directly grab the reservation from its spot on the floor plan and drag & drop it onto another table.
Note: If you want to lock the table assignment for a reservation so it cannot be changed, click the action button, then “Lock reservation.”


4. Assign multiple reservations to one table

You can assign several reservations to the same table. Just repeat the steps you used for the first reservation.
This allows you to plan your floor plan in advance for the whole day and turn over your tables if you offer multiple services.


5. Common cases & FAQs

Common cases

  • A reservation was assigned to a table that was already occupied. This is possible if you have enabled table turnover. Check the meal durations set in your services.
  • A reservation was automatically assigned to the wrong table. Check your table capacities and the assignment preference order set in your floor plan settings.

  • Can I lock a reservation to a table? Yes, you can click the “Lock reservation” button to block the table assignment.
